Attendance Extractor
Processes biometric attendance CSV exports (NGTeco-based) against employee schedules and holidays to produce late, overtime and absence summaries.
Overview
The Attendance Extractor takes the CSV exported from an NGTeco-based biometric time clock and computes each employee’s attendance against the schedule assigned to them.
Schedules can change: the system supports default timesheets per employee, temporary assignments for a date range, and recurring weekly patterns, plus a Philippine holiday calendar — so the computation reflects how people actually worked.
Business purpose
Raw biometric logs only record clock-ins and clock-outs. HR still has to compare them with schedules and holidays to know who was late, absent or on overtime. This tool does that comparison automatically.
My role
- I developed this attendance system as part of my workforce-systems work.
- I built the scheduling modules, CSV processing and reporting screens shown below.
Technical implementation
- CSV columns: first name, last name, date (YYYY-MM-DD), timesheet (ignored — the database assignment is used), clock in and clock out.
- Validation rules: employees must exist first; 12- and 24-hour time formats supported; CSV only, up to 10 MB.
- Upload history with date range, record counts, status and file download.
- Summary can be recalculated and exported to CSV.

Main features
Shift templates
Timesheets grouped into morning, afternoon and evening/night shifts, each with its time range and duration.
Temporary & recurring schedules
Temporary assignments with active / upcoming / expired status, and recurring weekly schedules per employee.
Holiday management
Philippine regular holidays and special non-working days, including recurring dates.
Attendance reports
Filters by date range, employee, clock status and Sunday work; charts for attendance overview, clock issues (no clock-in / clock-out) and time metrics.
Employee summary
Present, absent, half-day, holiday, missing punches, Sunday, late time and overtime per employee, with a detailed day-by-day view and overtime approval.
